How to Prepare a Better RFQ

1. Define the buying requirement

Use measurable product specifications, quantities, units, packaging, destination, timing, and compliance requirements that suppliers can quote consistently.

2. Make quotations comparable

Ask every supplier to state the same commercial details, including unit price, MOQ, lead time, Incoterm, packing, weights, validity, and payment terms.

3. Verify before committing

Compare samples, specifications, certificates, supplier identity, capacity, quality controls, payment protections, and final contract terms before placing an order.

What should a useful RFQ include?

A useful request for quotation identifies the buyer, supplier or supplier type, product and specification, quantity and unit, quote deadline, currency, delivery destination, requested Incoterm and named place when applicable, delivery timing, packaging, compliance, payment, sample, and quotation-validity requirements.

Can this RFQ replace a purchase order or contract?

No. An RFQ requests commercial information and does not by itself confirm an order. Review the supplier quotation, specifications, samples, quality requirements, payment protections, delivery responsibilities, governing terms, and final contract or purchase order before committing.

Should I include a target price in the RFQ?

Only if sharing a target supports your sourcing strategy. A target can help suppliers judge fit, but it may also anchor the negotiation. The field is optional and the builder never creates a target price for you.

Why does the template ask for an Incoterm and named place?

A three-letter Incoterm without its named place can leave the delivery point unclear. If you request an Incoterm, state the specific port, terminal, warehouse, city, or other named place and confirm the applicable Incoterms® edition with the supplier.

Are my RFQ details uploaded or saved?

No. The builder runs in your browser. It does not send the entered RFQ data to TradeGoAI, save it in browser storage, contact suppliers, or submit the result anywhere. Copy, download, or print the RFQ before leaving if you want to keep it.
